Students: how to protect your thesis, project and exam files from being copied
Months of work on a thesis, a final-year project or research data, sitting on a hostel laptop everyone borrows, a lab PC, or a pen drive that goes from hand to hand. Students lose work to copying, accidental deletion and stolen laptops every semester. Here's how to keep yours private and safe.
Common ways student work gets copied or lost
- Shared laptops in hostels and labs, where anyone can open your Documents folder.
- Pen drives passed around for printing or submissions, and lost.
- Group projects where one copy becomes everyone's copy.
- No backup: one crash, theft or spilled tea a week before submission.
Protect your work (10 minutes)
- Install Clavis Encrypt (free; Windows 10, 11 and Linux).
- Create a vault with a password your friends don't know, and save the one-time recovery key.
- Encrypt the files you want private: thesis drafts, datasets, code archives, scanned certificates and marksheets.
- To work on your thesis, open it, edit and save. Pro's Open re-locks it when you close Word.
- Copy encrypted files to your pen drive. They stay encrypted there, so a lost pen drive exposes nothing. See encrypting a USB drive.
- Back up twice: once to a cloud folder (encrypted copies are fine there) and once to a pen drive or external disk.
Prove the work is yours
- Keep dated drafts and versions. Clavis Premium keeps up to 10 previous versions of files you edit with Open.
- Email yourself, or your guide, dated drafts at milestones.
- Keep your raw data and notes. They're the strongest evidence of original work.
Questions
How do I stop someone copying my project from my laptop?
Encrypt the files. With a free app such as Clavis Encrypt, your thesis and project files can only be opened with your password and have random names, so someone using your laptop can't open or even identify them.
How do I password-protect a pen drive for college?
Copy encrypted files onto it. Files encrypted with Clavis Encrypt stay encrypted on the pen drive and open on any PC with Clavis and your password. Windows Home has no BitLocker To Go, so file encryption is the simplest option there.
What's the best way to back up a thesis?
Keep at least two copies besides your laptop, for example one cloud folder and one pen drive or external disk, and update them weekly. Encrypted copies are safe to keep in the cloud.
Is Clavis Encrypt free for students?
Yes. Encrypting and opening individual files is free, with full-strength encryption. Paid editions add folders, automation and version history.
